Client Services & Inventory Coordinator- High-End Cosmetics

I am seeking a Client Services & Inventory Coordinator to join a luxury goods company based in London who produce high-end cosmetics. Reporting to the Inventory Manager you will be joining a busy and energetic team and take responsibility for the processing of wholesale and retail orders.


  • Processing Sales Orders and Invoicing Retailers, Corporate, Stores Orders
  • Manage, communicate and update Delivery Schedules (Stores and Retailers)
  • Key person in liaising with boutiques regarding orders, stock adjustments and stock transfers
  • Raising invoices, liaising with stores for dispatch and taking payment for both brands
  • Updating delivery schedule
  • Assist with orders/ deliveries for PR Company and any events
  • Act as backup or provide support communicating with key wholesale customer
  • Direct management of Stock Assistants and working with Commercial teams across both brands
  • Raising Sales Invoices and Issuing to clients
  • Send out statements to clients on a monthly basis
  • Carry out checks and transfer from boutiques to ensure stock levels are accurate across Retail Pro & NAV
  • Liaising with commercial team regarding store and wholesale deliveries
  • Assisting Inventory and Planning Manager in store's stock management
  • Keep key personnel informed on logistics, deliveries, out of stock to ensure that the business can plan and function efficiently
  • Liaising with boutiques regarding preparation and guidelines for stock takes
  • Inputting stock count into retail pro to update stock holding for boutiques
  • Circulating stock take results to relevant teams with narrative explain results
  • Work with the Inventory & Planning Manager on forecasting and incorporating this into AGR/NAV
  • Support the Inventory & Planning Manager and liaising with the commercial team regarding forecasting and assist with any needs on this.
  • Be backup for the new AGR tool to ensure that stock ordering is efficient, and forecasting is as accurate as possible

Skills & Experience

  • High profile individual with at least 4 years' experience
  • Must have experience of stock management at Head office/Back office
  • Computer literate with an aptitude for numbers
  • Strong analytical skills with experience manipulating data
  • Experience with NAV and Retail Pro an advantage
  • Strong Excel Skills with the ability to create formulas and automate and streamline processes
  • Strong communication skills
  • Ability to work with individuals across departments and liaise with external customers and contacts
  • Solid organisational skills and the ability to prioritise a varied workload
  • Enthusiastic, committed and a fast learner with previous experience of a busy environment
